Job Description - Secretary to the Mayor
Provides routine clerical and secretarial assistance, including appointments, correspondence, and filing. Meets and greet public who come into Mayor’s office seeking assistance either in public or on telephone.
Essential Job Functions:
Assists with maintaining calendar, scheduling appointments and meeting rooms.
Assists with making routine travel and accommodation arrangements.
Types routine correspondence and reports using personal computer.
Picks up and delivers materials as required .
Opens, sorts and screens mail.
Operates office equipment such as photocopier, fax machines, and calculator.
Answers telephone, screens callers, relays messages and greets visitors.
Files in alphanumeric order and locates material from files.
Scope of Responsibility:
Knows the informal and formal policies, procedures and practices necessary to conduct the normal function of a specific section, unit, or work area. Is aware of the role of the position and its potential impact on the working unit. Maintain confidentiality of records. Does not allow original public records to leave the file area, provides copies of record to public upon request of public records.
Carries out routine duties and responsibilities with supervision. Makes decisions and establishes work priorities on essentially procedure-oriented operations.
Does not direct the activities of staff or a function. This is a position in the unclassified civil service that serves at the pleasure of the Mayor.
Exchanges routine information in an appropriate manner requiring good oral and written communication skills.
Required: High School Diploma or GED, Computer courses or knowledge gained through previous employment specifically in word processing and spreadsheets such as Excel or Lotus.
Six months work experience preferred.
Required: No requirements Pass a criminal background check. Ability to be bonded.
Sitting in a normal seated position for extended periods of time.
Reaching by extending hand(s) or arm(s) in any direction.
Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
Communication skills using the spoken word.
Ability to see within normal parameters.
Ability to hear within normal parameters.
Ability to move about.
